VeeBO Privacy Policy

The VeeBO application ("App") is developed and operated by SEAMEO Regional Centre for Quality Improvement of Teachers and Education Personnel in Science ("SEAQIS", "we", "us") as an AI-powered classroom observation platform for teacher professional development. This Privacy Policy explains how we collect, use, store, and protect personal information of App users.

By using the VeeBO App, you agree to the practices described in this Privacy Policy.

1. Information We Collect

1.1 Information You Provide

When you register and use VeeBO, we collect the following information:

Account information: full name, email address, password (stored in hashed form), teaching institution, education level, and subjects taught.
Learning videos: video recordings of teaching activities that you voluntarily upload to the platform, along with metadata you provide (subject, topic, learning model, recording date, additional notes).
Communications: feedback, questions, or problem reports you send to us.

1.2 Automatically Collected Information

Device notification token (FCM token): identifier generated by Firebase Cloud Messaging to deliver push notifications to your device.
Device information: platform type (Android), app version, and device model for technical diagnostic purposes.
Activity logs: login times, video upload activity, and report access for audit and security purposes.

1.3 Automated Analysis Results

After your video is processed, our system generates:

Transcripts of classroom conversations.
Speaker identification (teacher and student diarization).
Pedagogical scores based on the TEACH rubric (World Bank) or SEAQIS Primary.
Analysis narratives and professional development recommendations.

These analysis results are stored and linked to your account.

2. Purpose of Information Use

We use the collected information to:

Provide pedagogical analysis services for the learning videos you upload.
Generate classroom observation reports, TEACH scores, and professional development recommendations.
Send notifications related to video processing status and report availability.
Enable SEAQIS facilitators to review and provide feedback on analyses.
Improve the quality of AI algorithms and models through internal evaluation.
Fulfill applicable legal and regulatory obligations.

3. Sharing Information with Third Parties

VeeBO uses the following third-party services to operate core app functions:

Anthropic Claude API: for natural language analysis and pedagogical rubric assessment. Learning transcripts and metadata are sent to this service for processing.
Google Gemini API: for visual analysis of video frames (scene detection and student engagement estimation).
OpenAI Whisper API: for audio transcription of learning videos.
Firebase Cloud Messaging (Google): for delivering push notifications to your device.
Firebase Authentication (Google): for managing device notification tokens.

These service providers have their own privacy policies governing their data handling. We select providers that apply industry-standard security practices.

We do NOT sell, rent, or trade your personal information to any third party for marketing purposes.

We may disclose information if required by law, court order, or official request from authorized government authorities.

4. Data Storage and Security

Storage location: data is stored on servers managed by SEAQIS. Some AI processing is performed on third-party service provider servers (see Section 3) which may be located outside Indonesia.
Encryption: passwords are stored in hashed form, connections between app and server use HTTPS/TLS.
Access control: only authorized SEAQIS personnel and designated facilitators may access your data for purposes described in this Policy.
Data retention: we retain your data while your account is active and up to 2 (two) years after account inactivity, unless you request earlier deletion.

5. User Rights

As a VeeBO user, you have the right to:

Access: request a copy of personal data we hold about you.
Correction: update inaccurate profile information through account settings.
Deletion: request deletion of your account and all related data. Requests can be sent to the contact address in Section 9.
Restriction: request restriction of certain data processing.
Withdraw consent: stop using the service at any time.

Requests will be processed within a maximum of 30 working days.

6. Children's Privacy

VeeBO is intended for adult professional teachers and education personnel. We do not knowingly collect personal information from users under 18 years of age.

Although uploaded learning videos may show underage students, we emphasize that:

Responsibility for video recording permission and use lies with the uploading teacher in accordance with school policies and parental/guardian consent.
Student data in videos is not used for individual identification and is not stored as a separate entity in our database.
Analysis focuses on teaching quality, not student identity.

7. Policy Changes

We may update this Privacy Policy from time to time. Changes will be announced through in-app notifications or email. Continued use of VeeBO after changes is considered acceptance of the updated Policy.

The "Last updated" date at the top of this document will reflect the latest revision.

8. Cookies and Tracking Technologies

The VeeBO mobile app does not use cookies. For the mobile app, we securely store authentication tokens on the device using Android secure storage.
